Administrative Assistant I - Human Resources



Job Description

The Administrative Assistant I will provide support to the Human Resources Department staff, CSN employees and community affiliates. This role is designed to help serve the department as a whole and will need to collaborate with external departments, multiple faculty members, and the administrative assistants.

Under the direct supervision of the Administrative Assistant IV, responsibilities include, but are not limited to:

Front Office Management:
  • Answer the Human Resources main phone number in a timely manner, generally within three rings. Transfer calls to the appropriate staff member and/or department. Take messages as needed.
  • Ensure office supplies requisition/orders are generated prior to running out of any supplies including paper and toner. Assist Human Resource staff with faxes and copier. Make sure fax machine and all copies are working properly and report problems to the CSN help desk or the Les Olsen repair department as needed.
  • Stay knowledgeable about CSN campus, its policies, procedures, contact and department and share the information with all customers seeking assistance, including via Customer Service email box.
  • Distribute incoming mail in a timely manner. Time stamp, log and distribute mail to the appropriate recipient as it comes in.
  • Update and maintain the Departmental phone list. Revise and distribute the list as changes to staff/office assignments happen.
  • Become knowledgeable of Workday functions and providing guidance and/or referrals to callers and visitors to the Human Resource office.
  • Check the Human Resource Customer Service inbox several times daily and respond or forward messages appropriately within 24 hours.
  • Assist employees will navigating the Workday system.
  • Enter all service requests for the requests for the department (requests for facilities management, help desk, etc.) Monitor requests as they process through and keep the AA IV and/or department staff aware of status.
  • Complete any an all special projects assigned by supervisor and/or anyone in the supervisory chain of command in accordance with the specifications provided.
  • Provide guidance and technical support to applicants applying through the Workday System ( Academic, Administrative Faculty and Classified application system.)
  • Answer applicant questions regarding the recruitment process and application deadlines. Assist with over the phone and/or email applicant's questions and help with the completion of the online application process.
  • Inventory Department office supplies each month and prepare supply orders as needed to maintain appropriate supply levels. Place Office Depot and supply orders within five working of request.
  • Reconcile supply invoices with received items, note any discrepancies and contact the vendor for resolution.
  • Receives request for employment verifications (verbal, faxed, mailed). Completes verbal employment verification and distributes faxed/mailed verifications to the appropriate person for completion.
  • Practice sound safety and immediately resolve any safety issues and/or bring any issues immediately to the attention of your supervisor.


Minimum Qualifications:
  • Graduation from high school or equivalent education and one year of clerical experience which included experience in one or more of the following areas: maintaining records, answering telephones, and reviewing forms, documents and other written materials; OR six months of experience as an Administrative Aid in Nevada State service; OR an equivalent combination of education and experience as described above.


Preferred Qualifications:
  • Knowledge of standard office procedures, practices and methods; word processing software; data entry techniques; recordkeeping techniques; telephone etiquette.
  • Experience with Workday, Peoplesoft/MyCSN.
  • Proficiency in Microsoft Office, Specifically Word, Excel, and Outlook.
  • Experience working with diverse population.
  • Organizational and time management skills.


Salary Range:

Grade 23, Step 1 - $39,421.44.

Per Nevada Administrative Code (NAC 284.170), salaries for initial appointments for classified positions typically begin at Step 1.
