Summary
The Human Resources Coordinator/Assistant to the CHRO serves as the central point of contact for the Office of Human Resources. The role provides high-level executive and confidential administrative support to the Chief Human Resources Officer, including managing communications, coordinating initiatives, and supporting sensitive matters. Responsibilities also include overseeing daily HR office operations, supervising student employees, maintaining personnel records, and supporting core HR functions. Additionally, the position manages HR fiscal operations, including budget monitoring and tracking, expense processing, and financial reporting to support informed leadership decision-making.
Essential Functions
HR Consultation Services
- Serve as the primary point of contact for HR related matters, independently resolving routine and non-routine issues and appropriately escalating complex or sensitive matters.
- Communicate and explain university policies and state/federal employment laws to employees, applicants, and department leadership.
- Function as the liaison between the HR department and university stakeholders, ensuring timely, accurate, and professional communication.
- Partner with internal HR subject matter experts to ensure consistent service delivery and provide unified resolutions to multifaceted inquiries.
Executive & Senior Leadership Support
- Provide high level administrative support to the CHRO, utilizing independent judgement to manage complex scheduling, competing priorities, and coordinate logistics for internal and external stakeholders.
- Manage the CHRO's communication flows by drafting correspondence, preparing preliminary responses, reports, and approvals.
- Coordinate CHRO led initiatives, special projects, and assignments by researching data, gathering cross departmental information, and developing actionable recommendations.
- Function as the primary point of contact for highly sensitive HR matters, ensuring all inquiries are managed with strict adherence to confidentiality protocols.
Departmental Operations
- Responsible for overall office operations, including managing phone inquiries, scheduling, coordinating, and supporting meetings; ordering and maintaining office supplies; distributing and processing mail; and performing a wide range of administrative and office management functions to ensure efficient daily operations.
- Oversee the integrity and security of physical and digital personnel records, ensuring all files are maintained in strict compliance with university and legal standards.
- Direct and supervise student employees by assigning work, monitoring progress, providing training and mentorship, and overseeing workflow completion.
HR Functional Operations
- Serves as an administrative point of contact for I9/E-Verify compliance, providing guidance to campuswide stakeholders on federal regulations, while acting as the designated employer representative for Section 2 document verification.
- Provide administrative and operational assistance to the Talent Acquisition, Benefits, Compensation, and Employee Relations teams as needed.
- Provide coordination and administrative support for HR sponsored events and facilitate the distribution of physical and digital assets for HR initiatives.
- Performs routine HRIS data entry, generating standard reports upon request.
Fiscal Management & Budgetary Oversight
- Oversee the HR budget lifecycle, including the management and monitoring of operational, personnel, and project-based funds.
- Execute fiscal tasks such as processing invoices and reconciling monthly expenses, preparing check request, and managing travel expense reimbursements in compliance with university policy.
- Serve as the key resource in the budget cycle by gathering financial data and preliminary reports to keep the CHRO informed of budget status and operational trends.
Other Duties
- Perform additional duties and special projects assigned to support the mission and operations of the Office of Human Resources.
Minimum Qualifications
The following Degree is required:
- Associate's degree
The following Degree is preferred:
- Bachelor's Degree, in Human Resources, Business Administration, Communications or related field
The following Experience is required:
- 3 years of administrative experience, including at least 2 years in a human resources environment
The following Experience is preferred:
- Professional Human Resources experience
- Experience processing financial transactions (e.g., invoices, reimbursements) and performing budget reconciliation
- Professional experience working in a university setting; understanding governance structures and public employment, etc.
- Professional HR certification (PHR or SHRM-CP)

- Ability to collaborate and work effectively with individuals representing a wide range of backgrounds, experiences, and perspectives
- Advanced knowledge of Human Resources Information Systems including reporting and data management
- Strong project coordination and records management skills, with the ability to manage multiple initiatives while maintaining accurate and compliant documentation
- Strong analytical and problem-solving skills
- Ability to read, interpret, and apply legal and regulatory documents, including the Ohio Revised Code
